# How to automate your missions and how your service provider receives them on Biloki?

## Set up your recurring missions once per property. Biloki handles the rest, from automatic sending to the mission report.

How to automate your missions and how your service provider receives them

As soon as a booking comes into Biloki (Airbnb, Booking.com or direct booking), if you have set up mission automation for that property and assigned a service provider, the mission is created and sent automatically, without any action on your part.

### Step 1: Add your service provider or employee in the Teams tab

Before you can automate a mission, your service provider must be added to Biloki.

1. Go to **Teams** from the main menu
2. Click **+ Add a member**
3. Enter their email address and select **Independent service provider** or **Employee**

Once added, Biloki automatically creates a dedicated interface they log into to manage their missions:

- Service provider interface (green) for independent service providers
- Manager interface (blue) for employees

### Step 2: Set up mission automation

1. Go to **Properties**, then open the property’s page
2. Click **Missions**
3. For each mission type (cleaning, check-in, check-out, laundry...), fill in:
     - The general description of the mission
     - The detailed task checklist
     - The associated photos and videos
     - The service provider or providers responsible for this mission
4. Turn on the **Automation** button

💡 You can assign several service providers to the same mission. In that case, the first one to accept the mission carries it out. If one of the assigned providers already has another mission at the same time slot, Biloki does not offer them this mission and sends it only to the available provider(s).

Example: you assign Julie and Marc to the cleaning of a property. Julie already has a check-out that day. Biloki sends the cleaning only to Marc.

⚠️ If you have assigned only one service provider and they are not available (because they are already busy with another mission), the mission stays in the **To be scheduled** status. You then receive an email telling you it could not be assigned.

💡 You can modify an existing mission at any time to add items (instructions, tasks, photos...). The service provider is notified of the change and finds the updated details directly in the specifications of their mission.

Once set up, every new booking on this property automatically generates the mission with the right service provider, the right checklist and the right instructions.

### Step 3: The service provider receives and accepts the mission

As soon as a mission is assigned to them, the service provider receives a notification email at the address provided by your business. They can then:

- Accept or decline the mission directly from this email
- Log into their service provider interface to see all their missions

In their interface, they click **My missions** and find their calendar with all upcoming and past missions.

### Step 4: What the service provider sees on their mission

By clicking on a mission, the service provider has all the information they need to do the job without having to contact you.

**General information**

- Date and time of the mission
- Type of mission (cleaning, check-in, check-out...)
- Mission status
- Property name and full address

**Access to the property**

- Step-by-step access codes (building code, intercom, key box...)
- An explanatory note for each access method
- The WiFi network and password

💡 If a smart lock is linked to the property, the access code is generated automatically and remains visible on the service provider’s mission for the whole duration of the mission.

**Linked booking**

- Guest name
- Number of guests
- Arrival date and time
- Departure date and time

💡 The service provider only has access to the information needed for their mission. They never see your business’s confidential data or other bookings.

### Step 5: The service provider carries out and validates the mission

1. They click on the relevant mission in **My missions**
2. They click **Start mission**. Your business is notified that the service provider has entered the property.
3. They complete the checklist prepared by your business. For each step, they can add a photo to confirm the work was done.
4. If a problem is found, they tick **Problem reported** and enter an explanatory comment.
5. They click **Validate mission**. Your business automatically receives an email informing them that the mission report is available.

### Step 6: Your business reviews the mission report

1. Go to **Mission planning** from the main menu
2. Find all completed missions with their summary and timestamped photos
3. If a problem was reported, the **Problem reported** column shows **Yes** on the relevant row
4. Click on the mission to see the service provider’s comment and the details of the problem

💡 Photos in the mission report are timestamped. They serve as evidence in case of a dispute with a guest or an owner.

### Frequently asked questions

**Does the service provider or employee receive their missions automatically, without me creating them manually?**

Yes, provided that mission automation is set up in the **Missions** tab of the property and the relevant service provider is assigned. Once in place, every new booking automatically generates the corresponding missions.

**What happens if the service provider or employee declines the mission?**

You are notified. You can then reassign the mission to another service provider, from the **Mission planning** tab or from the booking’s page: click on the booking, then on **Assign a service provider**.

If you had assigned several service providers to the same mission, Biloki automatically reassigns the mission to the other provider, if they are available.

**What happens to missions if a booking is cancelled?**

When a booking is cancelled, whatever the platform (Airbnb, Booking.com or direct booking), all missions linked to that booking are automatically cancelled. You have nothing to do.

The service provider or employee concerned is notified in two ways: they receive an email informing them of the cancellation, and the mission appears as cancelled on their platform.

Example: a guest cancels their Booking.com reservation for 10 to 12 October. The cleaning on 12 October and the check-in on 10 October, assigned to Julie, are automatically cancelled. Julie receives an email for each of these two missions.
