# Create your guest guides on Biloki

## The guest guide is the digital showcase of your stay. It brings together all the practical information your guests check before and during their arrival: access, equipment, rules, nearby places and additional services. A well-built guide reduces recurring questions, improves the experience and frees up time for your team.

Create and customise your guest guide on Biloki

A well-built guest guide reduces your guests’ questions, improves their experience and frees up time for your team. Here is how to set it up step by step.

### Where to find the guest guide

1. Go to **Properties**
2. Open the page of the relevant property
3. Click on the **Guest guide** tab

### What is imported automatically from Airbnb

You do not have to fill everything in manually. As soon as you connect an Airbnb property to Biloki, the guest guide is generated automatically with the information already present in your listing:

- The rooms and their equipment
- The WiFi network and password
- Check-in and check-out times
- The property photos
- The general amenities

You only need to enrich what has been imported to give your guests even more context.

### Steps to create your guest guide

#### 1. Set up the visual identity

Click on **Visual identity** in the Guest guide tab. This section groups the appearance and general information of your guide, across four tabs: Information, Colours and themes, Links and Languages.

**Information tab**

- **Welcome title and subtitle**: displayed on the guide’s home page, as seen by guests.
- **Useful contacts**: emergency services (SAMU, Fire brigade, Police, Europe emergency number, Poison control centre), your business or owner, SOS Médecins, nearest hospital, on-duty pharmacy. You can also freely add custom contacts (service providers, neighbours...).

**Colours and themes tab**

- **Text colour, main colour, secondary colour**: the colours of your brand identity.
- **Font**: choose from Inter, Roboto, Poppins, Montserrat, Open Sans and others.
- **Reusable themes**: save a colour and font combination to apply it in one click to other properties.
- **Main images**: the photo displayed on the guide’s home page, and your business logo.

**Links tab**

- Enter your links (website, social networks). They will appear in the **More** tab of the guest guide.

**Languages tab**

- **Default language**: the language in which you write your guide.
- **Available languages**: select all the languages in which you want to offer your guide (multilingual is available).
- **Automatic translation**: a dedicated button generates translations of the guide into all enabled languages, based on your default language.

⚠️ Fill in all tabs and sections of the guide (Visual identity, Arrival and departure, Property access, Rooms and equipment, etc.) before launching automatic translation, so that all content is translated the first time. If you add or change content after a first translation, simply run automatic translation again: Biloki compares with what has already been translated and only translates new or modified elements.

#### 2. Set up property access

Click on **Property access**. Here you configure the access process your guests will see in the Access tab of the guide. This is also the process your service providers use to enter the property during their missions.

- **Welcome photo or video**: before the access steps, you can add a media file (photo or video) displayed first. This is ideal for a video showing the entrance, so the guest can easily find the property before following the detailed steps.

If you have connected a Nuki or Igloohome lock to Biloki, choose the access type **Connected lock**. Biloki automatically displays the locks linked to the property: select the lock associated with this property.

⚠️ This access process is shared between your guests and your service providers. Make sure it is complete and up to date for both.

#### 3. Complete the rooms and equipment

Click on **Rooms and equipment**. All rooms, photos and equipment imported from Airbnb appear here. By clicking on a room (for example “Bathroom”), you access three levels of enrichment:

- **Equipment**: the list imported from Airbnb, which you can complete with your own equipment.
- **General information about the room**: a free text area to add context (“The bathroom is at the end of the corridor, on the left”).
- **Notes on the room**: additional details (“The water heater remote is behind the door”).

⚠️ Any change to the guest guide applies immediately to all current and future guides for this property.

💡 The more you enrich rooms with precise notes, the fewer messages your guests will send you about basic questions.

#### 4. Enter the WiFi details

Click on **WiFi** and enter the network (name and password), which will appear directly in the guide.

💡 If your Airbnb listing already had a WiFi name and password before you connected it to Biloki, this information should have been synced automatically. Check it before sending the guide to your guests.

#### 5. Add additional services

Click on **Additional services**. This tab shows the additional services that can be offered at this property. To create or edit services, go to the **Additional services** tab in the left-hand menu.

💡 If an existing service does not appear for this property, click **Edit** from the Additional services tab and add the property to the list.

#### 6. Add your local recommendations

Click on **Local tips**. Recommend places to your guests by creating categories (for example Restaurants, Activities, Transport) and then adding places to them. For each place, you can enter:

- The photo, name and phone number
- The address and Google Maps link
- The website
- A personal comment (for example “Our guests love this place!”)

You can search for a place directly via Google Maps or create it manually.

💡 Recommend 6 places maximum per category. Too much information reduces readability.

#### 7. Set up access and transport

Click on **Access and transport**. Here you tell your guests about transport options around the property. This information appears in the **Access and transport** tab of their guide.

You have two ways to add transport:

**Search via Google (recommended)**: click on **Search via Google**. Biloki automatically finds transport near the property (bus stops, train stations, bike stations...). Select the ones you want to display and deselect the others. For each one, the distance and walking time from the property are calculated automatically.

**Add transport manually**: click on **Add transport**, then enter:

- The transport type: Metro, Train / RER, Bus, Tram, Bikes or Other
- The name or line (for example “Line 14” or “Saint-Malo station”)
- The distance and walking time from the property
- Notes if needed (optional)

Example: you add a transport of type “Bus”, name “Line 3 - Plage des Chevrettes stop”, at 230 m, a 3-minute walk, with the note “Towards the city centre, one bus every 20 minutes”.

Transport options are grouped by type (for example Train / RER, Bikes). You can edit a transport with the pencil icon or delete it with the bin icon.

#### 8. Turn modules on or off

In the configuration column, each module has a toggle. Switching it on adds it immediately to the guest preview and makes it visible to guests after saving. Disabled modules remain in your configuration but are not displayed.

💡 Do not overload the guide. 5 to 7 active modules are enough to cover 90% of needs.

#### 9. Preview the guest guide

Click on **View guest guide**, at the top right of the Guest guide tab. You see a faithful preview of what your guests will see.

💡 Always run this check before sending the guide.

#### 10. Duplicate the guide to other properties

If you manage several properties, there is no need to set up each guide from scratch. Click on **Duplicate this guide** to copy part of the configuration to other properties.

You choose exactly what is copied:

- **Visual identity**: colours, font, main image, logo
- **Access and transport**: metro, station, airport, car park
- **Local tips**: categories and recommended addresses
- **Police registration form**: activation and form fields

Then select the destination properties, one by one or with **Select all**, and click **Duplicate**.

⚠️ Duplicated content replaces what already exists on the selected properties. Sections specific to each property (arrival steps and access codes, WiFi, rooms, contacts, additional sales, departure) are not affected and remain unchanged.

### Frequently asked questions

**Is the AI assistant that answers guests available?**

Not yet. A feature allowing an AI to automatically answer guests’ questions from the guide is under development. Follow our communications to be informed of its launch.
